- Institution Account Data: Institution name, address, principal/admin contact details, mobile numbers, and email addresses.
- Student & Staff Records: Student enrollment numbers, guardian details, attendance logs, academic report cards, fee transaction histories, and staff payroll data uploaded by institution admins.
- Technical & System Logs: IP addresses, browser types, device information, and access timestamps to ensure account security and system integrity.
2. How We Use Your Information
We use the collected information strictly for authorized operational purposes:
- To facilitate single-login authentication across Student, Parent, Staff, and Admin portals.
- To send automated fee receipts, attendance alerts, and exam updates via SMS, Email, or WhatsApp.
- To generate batch ID cards, report cards, and payroll slips requested by institutional administrators.
- To protect accounts against unauthorized access, fraudulent activity, or security breaches.
3. Data Security & Storage
AllERP employs industry-standard 256-bit SSL encryption for data in transit and secure database vaults for data at rest. We implement daily automated cloud backups, strict role-based access controls, and routine security audits to prevent data loss or unauthorized disclosure.
4. Non-Sharing & Confidentiality Guarantee
We DO NOT sell, rent, or trade student, parent, or institution data to any third-party marketing or advertising agencies. Your data belongs exclusively to your institution. We share data only with essential cloud infrastructure partners (such as SMS gateway providers or payment gateways) strictly required to fulfill system functionality.
5. Data Retention & Account Rights
Institutions retain complete ownership of their databases. Upon subscription termination or written request from an authorized administrator, we provide a complete data export and purge historical records according to system retention schedules.
